1. TERMS OF SERVICE

1.1 Acceptance of Terms

By accessing this website and/or registering for the Event, you agree to comply with these Terms.

If you do not agree, please refrain from using the website or registering.


1.2 Organiser

All references to “Organiser” refer to IPHD.


1.3 Registration & Participation

Participation is open to:

  • Civil society representatives

  • Diplomats and government officials

  • International organisations

  • Academic institutions

  • Private sector partners

  • Accredited media

The Organiser reserves the right to approve or decline registrations to ensure institutional integrity and alignment with the Event’s objectives.

Registration is confirmed only upon:

  • Completed form submission

  • Payment (if applicable)

  • Official confirmation email


1.4 Visa & Travel Responsibility

Participants are solely responsible for:

  • Obtaining appropriate visas

  • Securing valid travel insurance

  • Complying with Austrian entry and immigration regulations

The Organiser may provide official invitation letters for visa purposes upon request; however, the Organiser cannot guarantee visa issuance or intervene in decisions made by Austrian authorities.


1.5 Event Modifications

The Organiser reserves the right to:

  • Modify the programme

  • Adjust speakers or scheduling

  • Transition between onsite and hybrid formats

  • Cancel or postpone the Event due to force majeure, public health measures, or circumstances beyond reasonable control

Participants will be informed accordingly.


1.6 Code of Conduct

Participants agree to:

  • Maintain respectful and professional conduct

  • Avoid harassment, discrimination, or disruptive behaviour

  • Respect institutional neutrality

The Organiser reserves the right to remove any participant violating these principles.


1.7 Intellectual Property

All website content, branding, materials, and official documentation are the intellectual property of the Organiser unless otherwise stated.

Reproduction requires prior written consent.

Speakers retain ownership of their presentations unless otherwise agreed.


1.8 Limitation of Liability

The Organiser shall not be held liable for:

  • Travel disruptions

  • Visa refusals

  • Personal loss or damage

  • Technical issues related to hybrid participation

  • Force majeure circumstances

Participation is at the attendee’s own responsibility.


1.9 Governing Law

These Terms are governed by the laws of the Republic of Austria.

2. PRIVACY POLICY (GDPR COMPLIANT)

  • Austrian authorities (if legally required)

All providers operate under GDPR-compliant agreements.


2.6 Data Retention

Data is retained:

  • For Event administration

  • For post-event reporting

  • As required under Austrian legal obligations

Thereafter securely deleted or anonymised.


2.7 Participant Rights

Participants have the right to:

  • Request deletion

  • Restrict processing

  • Withdraw consent

Complaints may be lodged with the Austrian Data Protection Authority.


2.8 Media & Photography

Sessions may be photographed or recorded for:

  • Official documentation

Participants may object in writing prior to the Event.

  • Hybrid format adjustments may occur if required.


5. MEDIA ACCREDITATION TERMS

Media representatives must:

  • Complete official accreditation

  • Provide valid credentials

  • Respect confidentiality of closed sessions

  • Use official branding appropriately

Approval remains at the discretion of the Organiser.


6. SPONSORSHIP & PARTNERSHIP TERMS

Sponsors acknowledge that:

  • Branding use requires written approval

  • Financial contributions do not imply editorial control

  • Placement depends on sponsorship level

  • Alignment with diplomatic and multilateral objectives is required

The Organiser retains final authority over programme content.


7. SUSTAINABILITY COMMITMENT

Aligned with Vienna’s eco-event framework:

  • Paperless programme materials

  • Public transport promotion

  • Waste reduction strategies

  • Local supplier engagement

  • Sustainable catering considerations

  • Application for Austrian Eco-Event recognition where applicable

The Event contributes to Vienna’s role as a hub for sustainable multilateral cooperation.
